A Clear Specification Prevents an Unclear Quotation

Many hospital bed quotations appear easy to compare until buyers examine what is actually included. Two beds described with the same function count can differ in dimensions, adjustment ranges, side rails, castors, brakes, electrical components, accessories, and packaging. If these details are not aligned, the lowest price may not represent the same product.

A written specification sheet gives procurement teams, manufacturers, and inspectors one shared reference. It also reduces changes during production and helps buyers evaluate samples or pre-shipment inspection results.

Define the Bed’s Clinical Role

Department and Patient Group

Start by identifying whether the bed is intended for a general ward, ICU, recovery area, pediatric department, maternity unit, rehabilitation service, or another setting. State the expected patient group and typical procedures. This prevents unnecessary features while ensuring essential ones are not overlooked.

Required Positioning Functions

List each required movement separately, such as backrest adjustment, knee adjustment, height adjustment, Trendelenburg, or reverse Trendelenburg. Do not rely only on labels such as “three-function” or “five-function,” because naming practices may vary. Specify the frame material, mattress platform construction, surface treatment, head and foot board material, side-rail design, and cleaning expectations. If corrosion resistance or chemical compatibility is important, state the facility’s requirements clearly.

Clarify whether the mattress, IV pole, drainage hooks, bumper wheels, battery, spare parts, and other accessories are included. The packing list should match the approved quotation.

Inspection Standard

Agree on the inspection method before production. This may cover dimensions, movements, noise, brakes, side rails, appearance, labeling, included accessories, packaging, and quantity. Photos or video can support review, while larger projects may also use third-party inspection.
